Terms & Conditions

These Terms & Conditions apply to direct bookings and stays at Grand Koper. By making a reservation directly with Grand Koper, guests confirm that they have read and accepted these Terms & Conditions and the specific conditions applicable to their booking.

Specific rates, payment terms, cancellation conditions and other restrictions may vary depending on the offer or rate selected. The conditions shown during the booking process and included in the booking confirmation form part of the reservation and take precedence where they are more specific than these general terms.

Bookings made through third-party platforms or authorised booking partners may also be subject to the terms and conditions of the relevant provider.

Making a Reservation

1. Online Booking

The fastest way to make a reservation is through the official booking system on the Grand Koper website.

Before completing the reservation, guests are shown the selected room, dates, rate, included services, total price, applicable payment and guarantee conditions, cancellation conditions and any other restrictions that apply to the selected offer.

A reservation is confirmed when the booking process has been successfully completed, any required payment or guarantee has been provided and the guest has received a written booking confirmation.

Depending on the selected rate, a valid payment card, advance payment, prepayment or another form of guarantee may be required.

Please check the booking confirmation carefully and contact us as soon as possible if any information is incorrect.

2. Enquiries Through the Contact Form

Guests can also send an enquiry through the contact form on the Grand Koper website.

Please include:

  • your preferred dates;
  • number of guests;
  • number and ages of any children;
  • preferred room type, if known;
  • whether you are travelling with a dog; and
  • any special requests or other information relevant to your stay.

We will reply with information about availability and, where applicable, an offer.

Submitting an enquiry does not create a reservation. Receiving an offer does not by itself create a confirmed reservation.

If the offer is valid for a limited period, this will be stated in the offer. To confirm the reservation, the guest must accept the offer and complete any required payment or guarantee within the stated deadline.

If the reservation is not confirmed within that period, the offer may expire and the room may be released for sale.

A reservation is confirmed only when the guest receives a written booking confirmation from Grand Koper.

3. Reservations by Email

Please include your preferred dates, number of guests, number and ages of any children, preferred room type if known, whether you are travelling with a dog and any special requests.

We will reply with availability and, where applicable, an offer.

An email enquiry or offer does not constitute a confirmed reservation. Where an offer includes a validity period or requires a payment or guarantee, the stated requirements must be completed within the applicable deadline.

A reservation is confirmed only when the guest receives a written booking confirmation from Grand Koper.

4. Reservations by Telephone

During the call, we may ask for the information needed to prepare the reservation or offer.

Where payment, a card guarantee or another action is required, the relevant instructions will be provided separately.

A telephone conversation or availability enquiry does not by itself constitute a confirmed reservation. The reservation is confirmed when the guest receives written confirmation from Grand Koper and any required guarantee or payment conditions have been fulfilled.

Reservations Through Third Parties

Reservations made through online travel agencies, tour operators or other authorised booking partners are subject to the booking, payment and cancellation conditions shown by the relevant provider.

For changes, cancellations or refunds relating to such bookings, guests may need to contact the provider through which the reservation was made.

Grand Koper remains responsible for providing the confirmed accommodation and hotel services in accordance with applicable law.

Group Reservations

Reservations of five or more rooms are considered group reservations and are subject to separate booking, payment and cancellation conditions.

Group reservations cannot be made through the standard individual booking process. Please send your enquiry to booking@grandkoper.com.

Based on the requested dates, number of rooms and specific requirements, our team will prepare an individual offer. The applicable payment schedule, cancellation conditions, deadlines and any other conditions will be clearly stated in the offer and booking confirmation.

A group reservation is confirmed only when the conditions stated in the offer have been fulfilled and written confirmation has been issued by Grand Koper.

The general cancellation and payment conditions for individual reservations set out in these Terms & Conditions do not apply where different conditions have been agreed for a group reservation.

Rates and Payment

Room rates are shown in euros unless otherwise stated and include VAT and the services expressly included in the selected offer. The tourist tax is not included in the room rate and is payable directly at the hotel. Any other mandatory or optional additional charges will be shown before the booking is completed or included in the booking confirmation, where applicable.

Payment and guarantee conditions depend on the selected rate or offer. A valid payment card, advance payment, prepayment or another form of guarantee may be required.

Where a payment card is used to guarantee or pay for a reservation, Grand Koper may process or charge the card only in accordance with the payment, cancellation, no-show and early departure conditions disclosed before booking and included in the booking confirmation.

Cancellations and Changes

Cancellation and modification conditions depend on the selected rate or offer. The applicable conditions are shown before the reservation is completed and included in the booking confirmation.

To cancel or request a change to a direct reservation, guests should use the cancellation method provided in the booking confirmation or contact Grand Koper in writing at either booking@grandkoper.com or hotel@grandkoper.com.

A cancellation is effective when it is received by Grand Koper. We recommend keeping the cancellation confirmation.

Any request to change a reservation is subject to availability and may result in a different rate.

Where the booking confirmation does not specify different cancellation conditions, the following general conditions apply:

  • cancellations must be made in writing or by email at least 5 calendar days before arrival;
  • for late cancellations of stays of up to and including 3 nights, a cancellation fee equal to one night’s accommodation may be charged;
  • for late cancellations of stays of 4 nights or more, a cancellation fee equal to two nights’ accommodation may be charged.

If a reservation is cancelled within the applicable free-cancellation period, any advance payment will be refunded in accordance with the conditions of the booking.

Non-refundable reservations are charged in accordance with the payment conditions shown at the time of booking and cannot be cancelled or refunded, except where mandatory law provides otherwise.

Accommodation services booked for a specific date or period are excluded from the statutory 14-day right of withdrawal that applies to many other distance contracts.

No-Shows and Early Departure

No-Shows

If a guest does not arrive and has not cancelled the reservation in accordance with the applicable conditions, the no-show conditions stated in the booking confirmation apply.

Where no different conditions are specified, Grand Koper may charge up to 100% of the booked accommodation price, excluding tourist tax.

Early Departure

If a guest leaves before the confirmed departure date, the conditions stated in the booking confirmation apply.

Where no different conditions are specified, Grand Koper may charge up to 100% of the remaining booked accommodation price, excluding tourist tax.

In exceptional circumstances beyond the guest’s reasonable control, please contact us as soon as possible. Any adjustment will be considered individually, taking into account the circumstances and applicable law.

Arrival and Departure

Check-in: from 15:00 on the day of arrival.
Check-out: by 11:00 on the day of departure.

Subject to availability, the following options are available:

  • Early check-in from 08:00: €100
  • Early check-in from 12:00: €50
  • Late check-out until 13:00: €30
  • Late check-out until 17:00: €100

Early check-in and late check-out must be requested in advance and are subject to availability.

If you expect to arrive after 22:00, please let us know in advance.

Hotel Cancellations and Exceptional Circumstances

In the exceptional event that Grand Koper is unable to provide confirmed accommodation or a confirmed service, we will contact the guest as soon as reasonably possible and seek an appropriate solution based on the circumstances.

Depending on the situation, this may include offering alternative accommodation of a comparable standard, alternative dates or a refund of amounts paid for services that cannot be provided. Nothing in this section limits any mandatory rights or remedies available to the guest under applicable law.

Children and Baby Cots

Children are welcome at Grand Koper. Please include the number and ages of children when making your reservation so that we can prepare the correct room arrangement and rate.

Baby cots are available for €7 per cot, per night and can be added to all room types except Single Rooms and Small Double Rooms. Baby cots are subject to availability, so please request one when making your reservation.

Dogs

Dogs are welcome at Grand Koper. Please let us know when making your reservation that you are bringing a four-legged guest so that we can prepare for their arrival.

The fee is €20 per dog, per night. Food and water bowls are available, and every dog receives a bed for a more comfortable stay. And if they have been a particularly good guest, there may even be a little surprise waiting at check-out.

Owners remain responsible for their dogs and for any damage or exceptional cleaning required as a result of their stay.

Guest Responsibilities and Hotel Rules

Guests are expected to respect the hotel, its staff, other guests and hotel property.

Guests may be held responsible for damage caused intentionally or through negligence during their stay. Any charge must reflect the actual and reasonable cost of cleaning, repair or replacement.

Grand Koper reserves the right to take appropriate and proportionate action in cases of serious misconduct, illegal activity or behaviour that threatens safety or significantly disturbs other guests or staff. Depending on the circumstances, this may include asking a guest to leave the hotel, subject to applicable law.

Smoking

Grand Koper is a strictly non-smoking hotel. Smoking is not permitted anywhere inside the hotel, including guest rooms.

If smoking takes place in a guest room, a smoking charge equal to three nights at the nightly room rate applicable to the guest’s confirmed reservation will apply. For reservations with different nightly rates, the charge will be calculated using the average nightly room rate of the confirmed stay. This charge reflects the exceptional cleaning, deodorisation and treatment required after smoking, as well as the risk of the room being unavailable for subsequent guests.

Any additional damage to hotel property may be charged separately.

Smoking is permitted only in designated outdoor areas.

Hotel Services and Special Requests

We do our best to fulfil special requests, but requests are subject to availability and cannot be guaranteed unless expressly confirmed in writing.

Information about hotel services, restaurant opening hours, facilities and other services is kept as up to date as reasonably possible. Certain services may occasionally change due to seasonality, maintenance, private events or circumstances outside our reasonable control.

Where a significant change affects a confirmed booking, we will inform the guest as soon as reasonably possible and provide any remedies required by applicable law.

Personal Belongings and Hotel Liability

Guests should take reasonable care of their personal belongings and use the in-room safe for valuables where appropriate. Personal belongings should not be left unattended in common areas, including restaurants, bars, the lobby, terraces and other shared spaces. Grand Koper does not provide safekeeping for items left unattended in these areas.

Luggage is considered accepted for storage only when it has been handed over to and accepted by an authorised member of staff for that purpose.

Please report any loss, theft or damage to personal belongings to the hotel as soon as you become aware of it.

Grand Koper’s liability for property brought onto the premises is governed by applicable law. Nothing in these Terms & Conditions excludes or limits liability where such exclusion or limitation is not permitted by law.

Complaints

If something is not right during your stay, please tell us as soon as reasonably possible. This includes issues such as room cleanliness, equipment or facilities not working properly, the location or condition of the room, noise or any other service that does not match what was confirmed.

Please report the issue to reception or ask to speak with the responsible manager. Where an issue can reasonably be resolved during your stay, guests are expected to give Grand Koper a reasonable opportunity to put it right.

If a guest does not report an issue that could reasonably have been identified and resolved during the stay, this may be taken into account when assessing any later request for a price reduction, refund or compensation. This does not affect any mandatory rights available to the guest under applicable law.

Privacy and Personal Data

Personal data is processed in accordance with our Privacy Policy.

Where personal data is required to fulfil a reservation, provide hotel services or comply with legal obligations, it will be processed in accordance with applicable data protection law.

Website Content and Intellectual Property

The content of the Grand Koper website, including text, photographs, graphics, logos and other materials, is protected by copyright and other intellectual property rights.

Content may not be reproduced, distributed, modified or used for commercial purposes without prior permission, except where permitted by law.

We take reasonable care to keep the information on our website accurate and up to date. However, occasional errors or technical interruptions may occur. Nothing in this section affects any rights relating to a confirmed reservation or any liability that cannot legally be excluded.

Third-Party Websites

The Grand Koper website may contain links to third-party websites. We are not responsible for the content, availability or privacy practices of websites operated by third parties. When visiting another website, the terms and privacy policy of that website apply.

Applicable Law and Consumer Rights

These Terms & Conditions are governed by the laws of the Republic of Slovenia. Subject to any mandatory consumer protection and jurisdiction rules, any disputes shall fall under the jurisdiction of the competent court in Koper, Slovenia.

JAZ IN BOŽO d.o.o. does not recognise any provider of out-of-court consumer dispute resolution as competent to resolve consumer disputes under the Slovenian Out-of-Court Resolution of Consumer Disputes Act (ZIsRPS).
